Consolidate

Data & Records Management

Every portal holds a partial copy of your workforce. None of them agree, and none of them are yours.

The problem

Your compliance data lives in half a dozen places and belongs to none of them

ISN holds one version of your workforce. Veriforce holds another. Your training provider holds the certificates, your shared drive holds the PDFs, and the spreadsheet somebody built two years ago is what people actually use.

When those copies disagree — and they always do — the reconciliation is manual, and the cost of getting it wrong is a crew turned away or a failed audit.

What we do

How we handle it

01

Establish a source of record

We consolidate personnel, qualifications, certificates, and documents into one structured system that you own, and work from that record when we maintain your platform profiles — rather than treating each portal as its own separate truth.

02

Migrate off spreadsheets

Existing spreadsheets and folder trees are cleaned, deduplicated, and imported — including the messy parts, which is usually most of it.

03

Structure documents so they are findable

Records are indexed against people, tasks, operators, and expiry dates, so retrieval is a query rather than a search through folders.

04

Report on what matters

Expiring qualifications, coverage gaps by operator, readiness by crew — reporting built around decisions you actually have to make.

05

Never overwrite a record

A qualification is never silently edited. Every change is appended with a timestamp and the person who made it, and the current value is derived from that history rather than replacing it. Nothing in the trail can be altered or removed after the fact.

06

Keep your records separate and access controlled

Your records are kept apart from every other client’s at the database level, not merely hidden in an interface, so a mistake elsewhere cannot expose them. Anyone with administrative access to your records signs in with multi-factor authentication.

What you get

Outcomes

  • One authoritative record instead of scattered, disagreeing copies
  • Documents retrievable in seconds during an audit
  • Visibility into gaps before they reach a jobsite
  • A defensible answer to “what did this record say on the day of the incident”
  • Records isolated from every other client’s, with multi-factor sign-in for administrative access
  • Data you own and can take with you

Why this is different

Most compliance firms work only inside your portals, which means your compliance history effectively lives in someone else’s product — and shows only what it says today, not what it said when the work was done. We build the layer underneath: a structured record you own, where every change is appended rather than overwritten, so the state of any qualification on any past date can still be reconstructed.

Find out what is about to lapse

Start with a compliance assessment. We inventory what you have, compare it against every operator you work for, and hand you a prioritized list of gaps — scope and cost agreed before any work begins.
